Description of School: Escuela Popular (EP) is an independent charter school located in San Jose. EP provides a bilingual, elementary and high school education to underserved, mostly migrant, families in the East Side Unified High School District. EP serves K-12 students during "traditional" school hours. It also serves adults in grades 9-12 during two full-time sessions one in the morning, the other in the evening.
Ideal Candidate: Escuela Popular is looking for a bright, motivated and detailed-oriented Attendance Coordinator. This is a key position given that the school's funding is tied to the monthly student attendance count. Hence, it is necessary that the candidate demonstrate his/her attention to detail.
This position requires an individual who is willing to be flexible with his/her work schedule. Typically, the job requires that at least two days of the week be split into two shifts: a) Shift 1 from 9 a.m. - 1p.m. and b) Shift 2 from 4 p.m. 8 p.m. Initially (during the summer school session), this position will be offered on a part-time basis. It is expected that this will turn into a full-time position once the 2004-05 school year begins.
Responsibilities: The Attendance Coordinator will be responsible for managing/coordinating ALL attendance-related tasks using an internet-based Student Information System (SIS). In addition to following attendance procedures, the Attendance Clerk may also be called on to create attendance procedures. This individual will work closely with teachers, staff, and the attendance manager (e.g., the company to whom Escuela Popular outsources its business services) to ensure attendance and enrollment are up-to-date, free from error, and that no issues are left unresolved.
Processing class or section changes as well as temporary absences in the SIS, as requested by students or teachers;
Providing teachers with rosters by printing them once a week, as well as collecting rosters from teachers at the end of each school day;
Entering grades at the end of each Quarter and Semester;
Sending letters to students who have been dismissed from the school;
Correcting discrepancies in student data, including attendance;
Providing Administration with regular student absence reports.
