      Job Description: Program Assistant
      Department: Visual Arts
      Classification: Exempt/Full-Time
      Reports To: Director, Visual Arts Program
      Starting Salary Range: $40,000 - 45,000

      Description:

      Provide clerical and operational support for the Visual Arts Program by overseeing and coordinating all practical details regarding the daily planning, preparation, and execution of multiple program schools.

      Duties:
      Perform a variety of essential clerical duties, including organizing and maintaining files, distributing mail and emails to visual arts staff, proofing program materials, preparing for meetings, recording minutes of program meetings and other meetings as requested, and maintaining office and art supplies for program
      Route and maintain files for program purchase requests, invoices and expense reports
      Oversee all visual arts inventories at multiple sites
      Maintain and update exhibition schedules and department calendar
      Work with communications department to print and disseminate program invitations and publications
      Print and disseminate exhibition collateral, signage and program materials
      Curate and hang artwork in community exhibition spaces
      Oversee all daily aspects of the visual arts department’s guest artists and special projects
      Oversee Department of Justice (DOJ) clearance processes and contracting of guest artists and independent contractors
      Schedule and arrange transportation accommodations for student field trips, visual arts staff, and guest artists
      Serve as departmental liaison with network affiliates on curatorial projects, transportation, and clerical duties
      Maintain departmental publications, inventories, and distribution
      Perform other duties as assigned or required

      Job Requirements/Required Education/Experience:
      College degree or equivalent required, BA in arts related coursework preferred
      One or more years of relevant experience and/or training, or equivalent combination of education and experience required
      Knowledge of curating and hanging artwork in public and private spaces
      Highly organized and detail-oriented, with excellent writing and communication skills
      Advanced clerical and secretarial skills in a multi-member department and with other network affiliates
      Ability to perform a variety of clerical and interpretive tasks often independently
      Capacity to organize and coordinate with flexibility, and with minimum supervision from the Visual Arts Department’s artistic team, as well as other departments as required
      Ability to effectively manage multiple priorities
      Excellent computer skills, to include Microsoft Office Suite, Publisher, Photoshop a plus
      Professional demeanor and excellent customer service skills with clients and individuals at all levels of the organization
      Fluency in English and Spanish preferred

      Working Conditions:
      Position will be situated in multiple sites and also in an open and busy office environment. Must be able to work independently, using good judgment and discretion on assigned tasks and accept direction on given assignments.

      Physical Requirements:
      Must be able to lift and carry boxes and other awkward items weighing up to 50 lbs. up and down stairs
      Requires intermittent standing, walking, sitting, squatting, stretching and bending throughout the workday
