Nelson\Nygaard Consulting Associates (N\N) seeks a highly organized,
independent and motivated Proposal Coordinator. The position is located
the San Francisco headquarters, but supports all of Nelson\Nygaard’s
offices. This is an outstanding opportunity for the right person to become
involved in building N\N's practice, which is focused on multi-modal
transportation planning for livable communities. N\N's work emphasizes
creative, innovative transit/transportation planning and community
involvement, often within a wider set of goals such as economic
development and reduced dependence on the private automobile.
The Proposal Coordinator has 5 primary functions:
Overseeing proposal preparation - Each proposal is assigned to a proposal
manager (usually a senior planner or higher) who typically prepares the
project scope, approach and budget. The Proposal Coordinator is
• Reviewing each RFP, preparing a comprehensive proposal outline/checklist
and conferring with the Proposal Manager to review the outline and
identify work assignments.
• Writing proposal cover letters
• Writing 2-3 paragraph “cameos” of N\N team members describing their
skills and role(s) in the projects.
• Preparing all required proposal forms (e.g. DBE/WBE certifications,
• Preparing Budget and Timeline templates in MS Excel
• Coordinating directly with Prime or Subconsultants regarding the
submission of proposal materials, if needed.
• Working with N\N’s Publications Department to ensure that all proposals
are properly prepared, fully reviewed and delivered to the client in a
• Preparing the draft scope/schedule/budget for fairly standard proposals
such as Performance Audits or Transit Development Plans
• Perform other related marketing activities as required.
Enhancing and Maintaining NN’s marketing materials – N\N recently updated
the format and content of all of its proposal/marketing materials
including qualification sheets, sector sheets and project profile sheets.
The materials were prepared using Adobe In-Design™. The Proposal
Coordinator is expected to regularly review, update and create new
materials as warranted.
Prepare and distribute marketing materials and qualification packages –
the direction of senior staff, the Proposal Coordinator is expected, with
minimal oversight, to prepare and distribute packages of marketing
materials (hard copies or electronic versions) to clients and other
Assist with performance reporting – The Proposal Coordinator will assist
the Chief Operating Officer with semi-annual assessments of N\N’s proposal
performance in terms of hit ratio, winning proposals, expenditures,
geographic distribution, etc. Assisting with this task will require
running reports in MS Excel™ and MS Access™.
Maintain project/proposal database – N\N uses a MS Access™ database to
track all of its open projects and proposals. The Proposal Coordinator,
with assistance from the Proposal Assistant, is responsible for ensuring
that all information in the database is kept up to date.
On occasion the Proposal Coordinator will be expected to prepare
presentation materials including PowerPoint slides, newsletters and
materials for Open Houses. In addition, the Proposal Coordinator is
expected to be proactive in suggesting and implementing new marketing
programs, as well as developing materials. These may include press
releases, abstracts, newsletters, etc.
The Proposal Coordinator will be expected to oversee the activities of
Proposal & Marketing Assistant.
1. Education and Experience - Candidates should have a B.A.\B.S. in a
related field such as journalism, business, planning or marketing and at
least one year of directly related experience working for a private sector
consulting firm creating proposals. Candidates without a four-year degree
must have at least two years of directly related experience.
2. Software - Candidates must be able to demonstrate a high level of
proficiency with Microsoft Office Products including Excel, Word, Access
and PowerPoint. Proficiency with design software (e.g. Adobe Illustrator)
and layout software (e.g. Adobe InDesign) is highly desired.
3. Writing - Candidates must be able to demonstrate excellent writing skills.
4. Organization – Candidates must be able to clearly demonstrate that
can work in an organized fashion, work with multiple proposal managers
simultaneously and work with minimal supervision.
Salary and Benefits
All employees at N\N are paid an hourly rate. The Proposal Coordinator
a “non-exempt”, full-time position. The hourly rate of pay for this
position ranges from $27.50 to $32.50, depending upon experience and
