      The American Academy of Nurse Practitioners has a full time opening for an Administrative Coordinator.

      This position will coordinate and carry out special projects; manage multiple calendars; prepare

      correspondence; and provide advanced administrative, budgetary, organization and operational



      Duties include:

      Coordinate the planning, organizing, and management of complex projects

      Coordinate the development of corporate policies, procedures, and guidelines

      Prepare documentation to reflect business processes and workflows, making recommendations for


      Coordinate various events and functions, including new leader orientation and all‐staff meetings

      Coordinate contract development, negotiation, administration, analysis and tracking

      Assemble background materials, prepare agendas, and record action items for various meetings

      Draft and disseminate general correspondence independently, maintain correspondence files,

      establish and implement a correspondence control/tickler system

      Assist with maintaining corporate records, including corporate Minutes

      Prepare graphs, charts and other statistical information

      Prepare reports relevant to operational and strategic goal benchmarking and progress reporting

      Analyze and make recommendations for the solution of budgetary, contractual, procedural and

      general management issues and concerns

      Plan, implement, and evaluate process improvement initiatives

      Maintain confidentiality of sensitive information

      Travel and provide support at the AANP annual conference and other board and committee

      meetings as needed

      Maintain a master Outlook calendar of scheduled activities


      Qualifications for this position include:

      Minimum associate’s degree, bachelor’s degree preferred

      Three years advanced‐level administrative experience

      Experience working in contract administration or legal environment preferred

      Experience writing business letters and business information pieces, and recording meeting minutes

      Demonstrated ability to plan and coordinate multi‐phase, deadline‐oriented projects

      Experience making travel arrangements and scheduling meetings

      Expert skills in Outlook, Word, Excel, and PowerPoint

      Excellent interpersonal, communication, and organizational skills; and a high attention to detail

      Demonstrated ability to work with all departments, managers, and directors in fast‐paced work


      Demonstrated ability to perform all communications in a courteous and professional manner

      Ability to travel and staff the AANP National Conference annually and additional meetings as needed

      Experience with associations preferred


      This position is based in Austin, TX at South Loop 1/Loop 360
