In the name of transparency, I want to update you all on where we stand:1. The CONTRACT for the convention site has been inked, but not yet signed by Phil Auter (Executive Director) and me (Local Host). We will have to pay the following: (1) $150 a day X 2 days for the conference facility + a 20% service fee [$360], (2) $3 per person for coffee X 70 people estimate X 2 days + 20 service fee [$504], (3) assuming 2 sodas X 70 people X $2 a can X 2 days + a 20% service fee [$672], (4) snacks at $6 per person X 2 days X 70 people + 20% service fee [$1008]. So, the conference site will cost us -- $300 + $504 + $672 + $1008 = $2484 for a turn-key experience. Comes to $2484 divided by 70 people = $35.49 per person off the $125 conference fee charged.2. I have a quote (thanks to Lisa Schreiber of Millersville University) for BOTH a shrimp boil (Friday night) and a crawfish boil (Saturday night) at $25 per person for each meal, or, $50 for both meals (Friday and Saturday). They promise to fill us until we cannot eat anymore, and are basically charging $3500 USD for both events. NOW --> I could do this a lot more cheaply if I ran the boils myself, and could even pocket some cash in the process. Heads-on shrimp runs about $5 a pound down here. Assuming 2 pounds per person [heads-on, recall] and we're looking at roughly $5 X 70 people X 2lbs = $700 in shrimp. I have the rigs, I have students who can run the boils, and we have the ability to do this. But, I think my time could be better spent BEING WITH EVERYONE than running two boils (which is very time consuming). My suggestion? Pay the $25 a piece to have the service come in, set-up, cook, serve, teach, and then clean-up afterwards. My students and I will be there to help you with conference matters, moreso than proper crawfish peeling technique. I beg you to swallow this cost. $3500 divided by 70 people = $50 per person for two really great meals. And the guy even said he'd throw in a KEG of Abita spring-water beer for us to wash it down with...3. I need someone's help in locating about 10 picnic benches in Lafayette, Louisiana for rental. We are not allowed to eat the boil stuff INSIDE the HOMEWOOD SUITES. Accordingly, we are going to have to build our own party spot. Can someone please call PARTY CENTRAL in Lafayette and get a price on 10 picnic tables being used from May 30 through June 2 at the HOMEWOOD SUITES -- delivered, set-up, and returned must be in the package. Once you get the best price on this, please let me know, and I'll build it into the budget.4. I believe that Susan Sarrapin from Purdue was going to be the PR LEADER on this convention effort. Am I correct? If so, we need the following developed within the week so that I can present the overall conference budget to the ACABOD for approval. Susan, please do the following: (1) costs on 75 4-color BEEFY-T's for the event, (2) costs on 100 paper pads for taking notes, (3) costs for 200 conference pens, (4) costs for all conference vinyl signage for the event, (5) costs for conference program guides [what do you have in mind?], and (6) costs for any other propaganda you can dream up. From my point of view, you have about $30 to work with per person X 70 people for a $2100 overall budget.5. I could also use some help from someone to deliver a MASS TRANSIT solution for our two (2) lunch sessions on Friday and Saturday. Any volunteers? My thought was to call the Lafayette BUS system and ask them if they could rent a bus to us for the 11:00am to 1:00pm period on Friday and Saturday. That would surely hold 70 people, and we'd lose no one in the process. But, if you have other ideas, thoughts, plans -- please let me know!!! I could really use some help on this piece.6. We are going to have to use the University's technology (laptop and showscreen) for presentations at the convention (it will be PC clone based). Myrene Magobo and Dale Cyphert are developing the virtual piece in this puzzle, currently, and communicating with Jim Parker (ACA Prez) about how the two conference -- real and virtual -- are supposed to work in coordination together, at the convention. NOTE: I ALSO ASSUME THAT THESE PEOPLE ARE SELF-MOTIVATED ENOUGH TO CROSS-COMMUNICATE WITH THE ACJ EDITOR ABOUT THE PROCESS OF INCLUDING PAPERS ON THE ACJ CONFERENCE PROCEEDINGS WEBSITE?!!! Please??? If not, we need to get this process hammered out quickly...7. I am going to be a Visiting Professor of Change Management at D'Annuzio University in Pescara, Italy for the month of December 2012. I would like, very much, to find a similar appointment [anywhere in the world!!!] for SUMMER OF 2013 -- immediately following the ACA Convention from June 4 2013 until August 4 2013. I am attaching my credentials to this email, in hopes of reaching an interesting party that is desirous of having someone from the USA visit their campus this summer [or maybe longer?]. Please see the attached files.8. Everything seems to be going well, so far. The 2013 CFP is in development (See: Parker, Auter, Cyphert, Magobo). The contractual planning is in place. The events are all lined up. And we have people "on task" for each of the major pieces. Let's all please "pull together" and deliver a groundbreakingly and breathtakingly innovative, fun, and collegial conference where we can all enjoy one another's company -- near or far.
