This way, responses can easily be tied in with the corresponding original points.

Timing

One big advantage to e-mail is the speed with which messages are delivered. This leads some authors to assume their mail will be read instantaneously and that the recipients can deal with the time factors.

A classic example is an invitation to a meeting that is called without confirmation of the reader’s availability, and with the assumption that the message will be read the second it leaves the author’s workstation.

Another example is a request such as "By tomorrow, would you send me…". It may be "tomorrow" before the recipient even reads the message.

This kind of e-mail can leave readers feeling as if they are being treated without due consideration or respect, and it can be disruptive to their work.

As a matter of principle, it should be understood that the onus to act on an e-mailed request has not been transferred to the recipient (regardless of the rank of the parties involved) until he or she has acknowledged the message and indicated acceptance. Authors should plan the timing of their messages accordingly.

When using e-mail, keep these points in mind:

  • Faster message delivery is not necessarily accompanied by a corresponding speed-up in readers’ response times.
  • Most people treat their e-mail with no more urgency than the paper mail in their in-baskets, often setting aside a specific time to deal with each.

Servers have been known to display incorrect dates and times, so you should always check this on your workstation (look for it on the menu). By logging into the system at the start of your work day, you ensure that your workstation’s date/time stamp has been reset. It’s still physically impossible for a message you create under tomorrow’s date to arrive in a recipient’s mailbox today.

Clarity, Brevity

Most people compose messages on the fly. Take time to express your thoughts clearly and concisely. Don’t leave the reader trying to interpret rambling, convoluted sentences. Proofread your message carefully before transmitting it.

Authors are responsible for ensuring that their messages are unambiguous. For example, there’s a lot of difference between: "The teacher said the boy had not washed for weeks"; and "The teacher," said the boy, "had not washed for weeks."

Copies

Once a message is created, it’s all too easy to send copies to anyone who might have even the slightest interest in the subject. It is the author’s responsibility to choose the most appropriate audience for the message.

There’s a huge difference between a person’s right to know and need to know. Let the latter be your guide when you distribute your e-mail.

Mailing Lists

It’s easy to set up a personalized mailing list and give it a title. The disadvantage in this is that readers see only the title. Not knowing who else is on the list, some of them may forward messages to other previous recipients, wasting time and effort.

In the absence of a prior understanding among recipients, the author should consider making the actual distribution explicit in the message.

Message Forwarding

This powerful e-mail feature relieves the sender of the need to recapitulate previous information. The problem with some messages is that they have so many other messages attached to them that readers can become confused about who is communicating what to whom - and why.

For this reason, you should avoid forwarding messages that have already been forwarded more than once.

Complaints

When e-mail is used to communicate a complaint about an action or inaction by another individual or unit, the opportunity is sometimes taken to forward copies to large numbers of people - the electronic equivalent of a public flogging. Complaints should be sent only to:

  • The person or persons considered responsible for the cause of the complaint; and
  • The person(s) most likely to be able to take corrective action, if different from the above.

Attachments

Attachments should be in a format that has been agreed to by both the sender and recipient(s). Whenever possible, use corporate standards, such as version 5.1 of WordPerfect. If an attached document is only meant to be viewed (as opposed to edited), then it should be stored as an ASCII file. The advantage in this is that readers can look at ASCII documents without exiting e-mail.

Note that the combined size of the attachments times the number of recipients should not exceed one megabyte. Keep in mind, too, that some documents (e.g.: WordPerfect tables) cannot be converted to ASCII and that PROFS users can’t send or receive certain kinds of attachments.

Mass Distribution

If you’re sending e-mail to more than 100 people, care must be taken so that the corporate e-mail system isn’t overloaded and inadvertently shut down. To prevent this from happening, avoid mass mailings during core working hours (8 a.m. to 4 p.m.).

You can also take the precaution of sending your message, along with the distribution instructions, to the ADMIN mailbox in each targeted e-mail system. Ask the administrator to forward the message to the appropriate people. This way, you’ll minimize e-mail traffic congestion and still reach your audience.

Records Management

According to the Freedom of Information and Personal Privacy Act, some e-mail constitutes official corporate business. Content, not form, is the criterion that determines if there must be an official record of a message.

An example of how this approach is being followed is the Information Services Division’s "Procedure for Management of Divisional Records", which was introduced in 1985. ISD staff are responsible for ensuring that their "official" correspondence (including e-mail) follows this procedure. Among other things, they’re required to make official e-mail messages available for retrieval and hard-copy printing upon request.

When e-mail is used to create and transmit official records, the author is responsible for ensuring that the message has a CARMS number, a GSI number, and a retention period assigned to it, and that a copy (currently paper) is placed in the "official" records.

Confidential Information

Care should be taken in using e-mail to deal with confidential matters. The ability of an e-mail system to preserve confidentiality depends on the administrator responsible for maintaining the system and on the ability of the system to protect e-mail files from unauthorized access.

Don’t use e-mail to communicate anything that would cause serious problems if the contents were viewed by an unintended recipient.

Security

Practice good password guidelines. Keep your e-mail password strictly confidential and change it regularly. It should be different from your log-in ID and at least six characters long.

Don’t let anyone else use your electronic mailbox. Log off the e-mail system when you’re not attending your workstation.

Email Etiquette

suggest meeting at about 9:30pm at the train station so that we can catch the
9:43pm train into Zurich.  If anyone has any suggestions of where to go in
Zurich (that does not involve Nelson's) then please voice your opinion or
forever hold your peace.

people and at the moment I
only have 12 places occupied by those who told me from
the beginning that they
were coming. That leaves 3 places available if anyone
wants to step in. If i
remember correctly there are still Jesse, Katrina,
Navneet and Gweltaz who said
they would come if there was space. That is 4 of you,
and I will leave to you
guys to sort out who will  come(although gifts to the
organizers might improve
you chances of coming).

Yo dudes (again)...

Me and Dave went to SBB last night to check out ticket prices.  The
price WITHOUT a couchet is just less than 75 CHF.  However, if you want
a couchet, it'll cost an additional 27 CHF.  If you don't have Gleich 7,
she said it would cost an additional 50 CHF or so.  We think that the
train seats will be in compartments, so if we manage to take over some
of those, we could probably get some rest even without a couchet.  And
who's actually gonna be sleeping anyway?  We might as well get the party
started on the right note.  On that note, you may want to know that
there is no direct train to Cinque Terre.  In other words, our route
calls for some 4:00 in the morning changes, and stuff like that.  Fun,
fun, fun...

So anyway, me and Dave both concluded that we are not gonna buy the
tickets for everyone (to much money to handle).  So, maybe it would be
best to organize your own way down to the station to buy the ticket.
Maybe we can arrange a time to buy the tickets.  If you can make it, go,
and if you can't, find someone to buy your ticket for you.  But
remember, the tickets have to be bought all at the same time, or else
you might end up paying more than 75 CHF.  Anyone wanna suggest a good
time to meet to go get the tickets?  Due to the amount of Swiss people
goin' down there that weekend, I think the sooner, the better.  How
about tonight?  Are some people free to go down?  Well let us know.

Furthermore, the people who wrote Dave an email yesterday have a place
booked in Cinque Terre.  The total was 11 people (I think).  However, we
booked a total of 15 beds, so if you are still contemplating coming,
better get your act together quickly, or you'll be finding your own
bed.  And if you're still trying to decide whether or not it'll be fun?
- come on... 15 people, the beach, Italy...

Yo dudes,

So here's the scoop.  Me and Dave tried to book a place in Cinque Terre
last night.  We were quick to learn that the place is full of Swiss
dudes who have the same idea as us.  Anyway, the hostels are full.
However, we managed to swing some rooms for 13 people in a hotel.  Here
is a break down of the costs:

Train:  Less than 100 CHF (if you have Gleich 7.  Without, I have no
idea)
Hotel:  Around 150 CHF
Food:  Probably half of what you pay here
Entertainment:  Beaches, hiking, etc. are free.  Beer is not.

Total:  Less than 350 CHF

Since we have to book the hotel tonight, I need everybody who is
planning on going to email Dave ASAP.  Email:

In the case that we have more people wanting to come than 13, the people
who first asked to come will have priority.  If that is the case, let us
know anyway, and me and Dave can try and find more room tonight.  Well,

Once upon time (1/t) a pretty little Polly Nomial was strolling across a
field of vectors when she came to the boundary of a large matrix. Now Polly
was convergent, and her mother had made it an absolute condition that she
must never, ever enter such an array without her brackets on. Polly,
however, who had changed her variables that morning and was feeling
particularly badly behaved, she ignored this condition on the basis that it
was insufficient, and made her way amongst the complex elements.

Rows and columns closed in on her from all sides. Tangents approached her
surface, and she became tensor and tensor. Quite suddenly, two branches of a
hyperbola touched her at a single point. She oscillated violently, became
unstable, lost all sense of directrix, tripped over a square root that was
protruding from the erf, and plunged headlong down a steep gradient. She was
completely divergent by the time she reached the turning point. When she
rounded off once more, she found herself inverted, apparently alone in a
non-euclidean space.

She was being watched, however !

That smooth operator, Curly Pi, was lurking inner product. As his eyes
devoured her curvilinear coordinates, a singular expression crossed his
face. He wondered, was she convergent? He decided to integrate improperly at
once.

Hearing a common fraction behind her, Polly rotated and saw Curly Pi
approaching with his lower series extended. She could see at once his
degenerate conic and his dissipative terms, and knew he was irrational.
"Arcsinh!" she gasped.

"Hey, what's your sine?" he asked.

"What a symmetric set of asymptotes you have!"

"Stay away from me!" she protested. "I haven't got any brackets on!"

"Seventeen," replied Polly.

Curly leered, "I suppose you've never been operated upon?" "Of course not.
I'm absolutely convergent!" Polly replied quite properly.

"Come on," said Curly: "Let's go to a decimal place I know of, and I'll take
you to the limit."

"Never!" gasped Polly.

"Abscissa!" he swore a violent oath. Coshing her over the coefficient with a
log until she was powerless, Curly removed her discontinuities. He stared at
her significant places, and began smoothing her points of inflection.

Poor Polly Nomial. She had no escape algorithm.  She felt him approaching
her asymptotic limit. Her convergence would soon be gone forever.

There was no mercy; Curly was a heavy side operator. His radius squared
itself and Polly's loci quivered. He integrated by parts. He integrated by
partial fractions. After he cofactored, he performed Runge-Kutta on her. He
even went all the way around and did a contour integration. Curly went on
operating until he satisfied his hypotheses, then he exponentiated and
became completely orthogonal.

When Polly got home that night, her mother noticed that she was no longer
piecewise continuous, but had been truncated in several places. But it was
too late to differentiate now.

As the months went by, Polly's denominator increased monotonically. Finally,
they took her to L'Hospital and generated a small but pathological function
which left surds all over the place and drove Polly to deviation.

The moral of this tale is: "If you want to keep your expressions convergent,
never allow them a single degree of freedom".

" They go to Las Vegas
and the guy says, "OK frog, now
what?" The frog says, "Ribbit Roulette." Upon
approaching the roulette table, The man

asks, "What do you think I should
bet?" The frog replies, "Ribbit
$3000, black 6."


Now, this is a
million-to-one shot to win, but
after the golf game the man

figures what the heck.

Boom! Tons of cash comes sliding back across the table.


The man takes his winnings and
buys the best room in the
hotel. He sits the frog down and
says, "Frog, I don't know how to repay you.
You've won me all this money and
I am forever grateful."

The frog replies, "Ribbit Kiss

Me." He figures why not,

since after all the frog did for
him, he deserves it. With a
kiss, the frog turns into a
gorgeous 15-year-old girl. "And that,
