Please read the email from concerned Phi Tau mom, Alice Armstrong below…

I heard about the demolition of the BGSU Phi Tau house last week to make room for dorms. Apparently, this is supposed to happen in the middle of the school year, so I can certainly understand Alice’s concern. If any of you can pass this info along to someone that may be able to help this would be greatly appreciated!

Perhaps if we each send an email to the BGSU president and our National boycotting sending in our annual gifts or something like that, it may prompt them to a different course of action.

Here is the article:

BOWLING GREEN -- A residence hall and two fraternity houses will be razed to make way for two new dorms at Bowling Green State University, officials announced Monday.

The new dorms are part of a complete overhaul of campus residence and dining halls.

One of the new residence halls will be built where Rodgers Quadrangle and the Sigma Phi Epsilon and Phi Kappa Tau fraternity houses are now located off Wooster Street.

While Rodgers was closed before this school year in anticipation of changes, the students who live in the fraternities are figuring out where they will go.

The university provided the fraternities, which have about 60 students combined living in the houses, options last week for different on-campus housing.

They are being asked to move over winter break because demolition is planned for April to make way for construction of the new dorms, which are expected to be completed by the 2011-12 school year.

I am a parent of a current Phi Tau BGSU student (and a 2007 Phi Tau BGSU grad) - the fraternity was informed yesterday by the University, through their advisor Tim Smith, that they will be tearing the House down (chapter is 49 years old tomorrow) this spring (April) to construct a new dorm - the students will be distributed through-out the campus for the winter semester and must vacate by Christmas break. I am shocked that the University would even consider disrupting these kids mid-year and will not wait until the end of the school year.  I know how upset my son is, and what personal turmoil this will cause for him as well as for his fraternity brothers.  Their way of life that they have chosen at college is over, and the history of the house will be gone in a matter of weeks.  I am sure that this has been in the works for quite awhile and as a parent I have not received any news from the the University nor did the kids know.  It will be extremely difficult to keep this chapter together after a disruptive move such as this that will literally scatter the fraternity members across the campus. 

 

I was hopeful that you may have a network that you could contact quickly that could email the University to at least request that they wait until the end of the school year to close the house for demolition. It appears that BGSU is not thinking about what is best for the students at all in this situation, only what is best for their  construction schedule  - and why no mention of this earlier in the year?

 

Tim Smith gave me the following names to email and he was going to contact National after our conversation this afternoon to discuss the situation with them.

My thought is that the fraternity needs a very strong advocate - from outside of the University environment - to help them through this situation or at the very least a number of voices that will have their best interest in mind and make the effort to appeal to the University to re-consider their decision.

 

Would appreciate any suggestions you may have.  I hate to see this happen to these kids.

Dear Brothers,

 

Let me start by saying THANK YOU to all the brothers that have sent encouragement and contributions for my Multiple Sclerosis Society Pedal to the Point team. I simply cannot express my full gratitude to each of you.

 

For those brothers I may not yet know, I want to tell you a little bit about me and why I ride. I was initiated at the Beta Mu chapter in 1996.  I was an "active" active brother; serving on the executive board, participating on most of the intramural teams, keeping my grades up and paying my dues.  I enjoyed many friendships within the fraternity during college and do so to this day!

 

In January of 2003, just over two years out of graduate school and four months before my 30th birthday, I woke up feeling "hung-over" - bleary-eyed, foggy headed, nauseous and a little bit dizzy - the thing was, I hadn't had anything to drink the night before.  This feeling went on for a couple more days and my wife scheduled a doctor's appointment for me.  I reluctantly went, that doctor referred me to another and then another and the fourth doctor said, "Well, its one of two things, either a brain hemorrhage or a brain tumor".  Neither sounded like something I wanted, so when my family practitioner called a couple days later with the test results, you can imagine my relief when she said, "I'm sorry to have to tell you that you have MS".

 

My immediate thought was, "well, let's get to work staying ahead of this damn thing".  I took up running (I know it sounds very Forrest Gump-ish (running to overcome adversity and all) but I took to it and kept doing it, 8 marathons (with a Boston Marathon qualification time posted this year) and an ultra-marathon later, here I am. This year is my sixth Pedal to the Point and my seventh MS Bike Tour event (I rode the Coast the Coast in New Jersey a couple years ago).  My team has been very successful over the past few years, and we hope this years fund raising will put our cumulative total over the $10,000 mark.  This is the only fund raising event I participate in, because I do not want to be the "uh-oh-here-comes-Aaron-Hawkins-looking-for-money" guy.

 

For the 6th year I will captain Team Phoenix Rising for the MS Pedal to the Point, and this year we are fielding our strongest team ever.  We have 34 registered team members ready to ride their bicycles over 150 miles in two days to raise money for this cause.  This year my team includes 6 Beta Mu brothers. In addition to myself, I have recruited Beta Mu alums Kurtis Fraley, Gregg Bourdo, Tom Brewer, PJ Moore, and Bob Baldwin to ride with me.

 

The National Multiple Sclerosis Society (NMSS) MS150 - Pedal to the Point is one of the MS Societys landmark fund raising events. I do not want anyone, by any stretch, to feel obligated to donate. If you wish to donate, I would greatly appreciate your support.

On Campus Strategy and Tactics

Identify the key 3-4 areas on campus where the freshmen are hanging out

Come up with a calendar of events , cookouts , whatever , a theme party , to invite guys over to , put on a flyer or handout

Sports is a great way to meet guys on the intramural fields

Take the flyer or handout to give to guys and make assignments for specific dorms or Apt. complexes to visit in teams of brothers

Get the names , emails , cell #s of the guys you are meeting and keep a list and work the list

Helping guys move in their dorm or apt. is always a great way to meet guys and their parents ( so act right)

Have informal gatherings at the house or another brothers apt. and get guys over

Assign a brother to each rushee to follow-up with and be accountable for, keep up with him

Hold chapter each night to see where you are , tweak the plan

Don’t “recruit”- instead -Make friendsfirst….and the rest will follow.

 

 

 

 

 

 

What Kind of Guy are  We Recruiting?

Has a good moral character and convictions

Is academically committed and can make his grades

Has serious respect for his parents , family , his brothers , women and chapter & university  property

Is  financially responsible

NOTE: Does your school provide a list or excel file of the names and addresses of incoming freshman guys ?

 

At Auburn University , the IFC provides the database of these guys to each fraternity in late spring semester before school ends.

I am always stunned and surprised at how little these lists are used correctly or at all.   I assure you, as a direct marketing man , I know what to do with them .

If your school does provide it , then you need to get it and use it to:

1.mail to , 2.make calls , 3.divide up between your brothers to call the guys from their hometowns and area , etc.

This list is a gold mine for your rush effort .

 

 

 

 

RECRUIT or DIE

Most college fraternity guys are slow to make the correlation between the nation’s ailing economy and their rush efforts.

But reports are quietly bubbling up from college campuses all across America that indicate fall 2009 enrollment may be down as much as 15% IN ENTERING FRESHMAN CAMPUSES .This means an ever-shrinking pool of fraternity rush prospects. And since parents will also have less residual income due to falling investment incomes and job losses, the luxury expense of their son joining a fraternity may very well be an expense their son will have to forego.

Longmire and Company, and education consulting firm to higher education marketers, just released a report on the impact of the economy on college enrollment and the findings are substantial.  President of Longmire, Robert Longmire, says “Higher education institutions will need to retool their recruitment and financial aid departments if they are to remain competitive in this environment.”

I believe strongly This also applies to fraternities who compete for rushees.

Some of the key findings of the report which will also apply to fraternities trying to recruit new members are :

·                                 -46% of households surveyed said their plans for college have changed “dramatically” or “somewhat” because of the economy

·                                 -53% said as a result of the economy, changes to their plans include enrolling in a less expensive college

·                                 -76% of respondents indicated they were “somewhat” or “very likely” to consider a college initially believed to be too expensive if they could demonstrate value

·                                 -When identifying this ‘value’, 38% indicated scholarships and aid would demonstrate value while 62% mentioned non-financial values; like track record of students finding high-paying jobs upon graduation

·                                 -27% of applicants will submit fewer applications; with the South and Midwest reporting this number being close to 40%

·                                 -33% said that the existence of a large endowment is attractive when deciding where to apply.

What does this mean to your chapter?

Simply put , if you chapter is one of those chapters who sit around on their butts all summer long and wait on the guys to get to the campus for formal rush , then you need to go ahead and notify your alumni that your chapter will be closing down sometimes next year .

If your chapter doesn’t design, organize and implement a serious summer recruitment plan before you leave for summer break, then you have accepted and embraced failure.

Your fall social and chapter budget, will suffer because you failed to heed the warnings and get organized in your recruitment efforts.

 

OK, OK, I get it. What do we do?

1.   Review Your dues structure and Budget

What items can you cut? Are you running an efficient operation? Are your dues too high ? Are your associate fees to high? Many chapters stupidly make their associate member fees high and put them into the social budget for fall.

2.   Seriously PLAN for Summer Recruitment like you have never done before

The idea is to meet as many guys as you can over the summer. While it is “recruitment”, you should look at it as just “ making new friends” .  By meeting as many new “friends” over the summer, you introduce guys to Phi Tau and yourself, and they in turn ,( assuming you have made a good and appropriate impression upon them ) will be looking for you and Phi Tau when they get to campus in the fall.

  This will take enormous pressure off of your fall rush if you already have met 20 –40 guys whom you and your other brothers have made friends with over the summer. They should be ready to join Phi Tau as soon as they can, again assuming you have done the right things and followed –up with them over the summer. (like getting their cell #and email)

Now , to do this successfully is going to take that one discipline that most college guys just aren’t good at– that evil concept known as……..

PLANNING.   One of the required reports you must submit at the end of spring semester is your rush plan. It is designed to force you and the chapter to focus on planning for summer and fall recruitment. Check it out under reports at the national web site.

 

WHAT KIND Of EVENTS ?

As far as summer rush EVENTS are concerned there are two schools of thought that work well when diligently planned and executed.

 

1.    Some chapters plan 3-4 large social events in major cities or regions where they have a lot of brothers and or alumni. It can be in the form of a cookout, lake party, crawfish boil, clay-shoot, BBQ.

NOTE : These are successful only when you have contacted by phone , mail  or email all the potential rushees in the area well in advance and the brothers from that area have personally invited and confirmed the attendance of those rushees.

   2. Other chapters are equally successful by having small groups of brothers take out a small group of rushees out to lunch and or dinner over the summer in their hometowns or where they are working over the summer. However the brothers have to be committed and must have a list of potential guys to contact by the end of spring semester.

Usually the younger brothers will know who is coming to your college from their high school or hometown.

Both tactics work, when planned and executed . A combination of both tactics performed correctly will result in a huge quality associate class for your chapter.

 

 

 

What a Summer Recruitment Schedule looks Like

Below is the actual 2006 Summer Schedule that my chapter,

( Alpha Lambda of Phi Kappa Tau ) used at Auburn University . In 2006 the chapter won the “ Sonny Strange Award” for the best recruitment  program . Notice the events took place in our 4 major markets where our guys come from.  Directions are posted on the chapter web site about two days before the event. Brothers are encouraged to offer to meet and pick u the rushees to get them there , or follow them in their car .

 

Sat. June 14 – Lake Martin , Alum’s Lake House

( Invited greater Montgomery, Alabama area rushees)

Sat. June 28th – Atlanta Braves game outing ,

( Invited greater Atlanta area rushees )

Weekend July 12-14   Deep Sea Fishing & Seafood Bash

( Invited South Alabama, and  NW Florida area rushees )

Sat. July 20 – Birmingham Band party , City Lofts

( invited greater B’ham area rushees )

Friday August 5 – Brothers must report to campus, chapter Sat. August 6- help freshmen move in , cookout at House

Sunday August 7 – Friday , Aug. 12 -various functions at house and close by campus to meet rushees .

Sat August 13 – “Country Fun Cookout” at Tom Radney’s Farm (Alum’s Pool, Lake , Farmhouse about 1 hour from campus .) They use this event to take rushees to either extend a bid or get them to accept their bid.

Monday , August 14 – Classes begin

Tuesday , August 14 – FORMAL Rush begins

 

 

How  Your Alums Can Help with

Summer Rush Events

 

I bet every chapter can identify an alum with a lake place, hunting lodge, barn & field, beach place, or maybe a downtown loft.

These are “Rush assets” that should be utilized if you approach the alum with right plan and attitude.  Now, the alum is probably not  going to let you  have a blowout concert featuring Widespread Panic , Lady Gaga  or Fitty Cent , because of liability issues . So forget it.

But they will let you have guys over to ski, fish, hunt, cook out , swim , etc. After all, again, the key here is that you are “ making friends “ and getting to meet and know guys . That’s were successful recruitment begins.

 

So get a plan and approach some of your alumni now. Don’t wait 2-3 weeks out and call your alum and ask if he can host a rush function. In the “ real world “ we adults have our summers planned out months ahead of time . Make some calls and find out who you can approach.

RULES of COURTESY When having an Event at an ALUM’s  Place :

1.    Be sure to ask if the alumni can provide some of the food, plates or napkins. Some will, and some will only provide the place. Depending upon how many people will determine what he can or be willing to do.

2.    Agree on a time when you will have a smaller group of brothers get their early and set up everything.

3.    Be respectful of the alumni’s wife, property and neighbors .

4.    Act like an adult. Have brothers accountable.

5.    help clean up when its over .

6.    Send a thank you note or small token of appreciation (chapter T-shirt , mug , etc. ) a week after the event .  Remember, you are going to want to do this again next year! How you conduct yourselves will determine that!

 

 

 

 

 

Understanding The Red Zone of Fraternity Rush

 

The most important thing you can do is to identify and meet potential members well before school starts. Making friends early and often means they will be more comfortable with your guys and hopefully join as soon as they can. If your school allows rushees to accept a bid before school stats then by all means go for it .

 

If your school has deferred rush or want let  you give bids or let a guy join before school starts (which I never understood) , then you still need to be meeting guys and making friends.

 

But for guys who do join there’s an interesting phenomenon I call the “Red Zone “.

 

 

 

 

 
According to several studies and student surveys between 2001 and 2006 , most college men who wait until school starts that are considering joining a fraternity decide which one they are going to join during a 21 day period I call the “ Red Zone “ of rush .

 

This 21 day period begins the day he is moving onto campus-, about one  week before school starts , to about 2 weeks after school has started .   That’s why  chapters who take recruitment seriously require brothers to be back on campus and ready to rush at least one week before the first day of fall semester in order to be competitive.

They also have  a 10 day “ Red Zone” calendar of  social events , cook outs , crawfish boil , BBQ and football tailgating events to invite guys to . They use this to extend bids to guys they met over the summer and as a way to meet new guys BEFORE official fall rush begins . It works.

Use these events to make friends into Phi Taus well before formal rush !

 

 

Here’s an easy way to use text you've already formatted as the basis for a new paragraph, character, or list style:

1.         Select the text, on the Format menu, click Styles and Formatting, and then click New Style. You’ll see all your style characteristics displayed.

2.         Name your new style, check the Add to Template box, and then click OK.

When choosing the fonts that you’ll be using for headlines and body text, a good rule is to never use more than 2-3 fonts in a newsletter. More cause confusion and make your efforts look less professional. Be creative with the ones you do choose, though. Use different sizes and colors, and use bold and italics to add variety without confusing the look of the newsletter. You can add these custom styles to your template’s style palette so that they’re instantly available.

Finally, delete any features that you won’t be using. Once you’re done with these general changes, save the result as a Word template.

Add articles and graphics

One distinct difference between a printed newsletter and an e-mail version is the amount of text to include. Unless you know that all your readers will be interested in a longer version, you should keep the amount of information to about 1,000 words or less. Anything more becomes tiresome to read online, and you may lose their interest before they read the items you really want them to see.

What to include

Some items to think about including might be introductions to new employees, recent awards presented to your company, specials and discounts on products or services, announcements of new products, and information on new ways to take advantage of your products or services. Don’t include items that might be of interest to only a few customers; you want to capture and hold the interest of as many readers as possible.

Add graphics

Globe

Add graphics or pictures with captions to help break up the text and create some visual interest. But make sure that whatever you add relates to the adjacent text. A picture of the company dog might be cute, but if the story surrounding it is about a new product, the picture will only serve to confuse your readers.

Contact information

Be sure to include contact information in more than one place. Not only should it be part of your master template, you should include “For more information…” contacts in every article where it’s appropriate.

Web links

Include links to the company Web site wherever you can. Be sure to update the site to include the information you are referring them to. It’s easy to include hyperlinks in your newsletter that will take customers right to your Web site or get them started with an e-mail to your sales staff.

Proofread

When you’ve completed your newsletter, it’s time for one of the most important steps of all—proofreading. Take several passes through the material, looking for different things each time.

Brother Paul Newman, who epitomized the qualities of a great performer and even better human being -- thoughtful, charitable, capable, and courageous, passed away recently. During his lifetime he founded, Hole in the Wall Camps, which are the world's largest family of camps for children with life-threatening illnesses. Thousands of kids are served each year at no cost to them or their families.

Hole in the Wall Camps offer a critical experience in the life of a seriously ill child, encouraging the heart, enlarging the spirit, and empowering the will, all year long. Hole in the Wall Camps give these youngsters important tools -- tools they can take into the world to help meet the challenge of serious illness long after their time at Camp is over.

As a brother from the Epsilon Kappa Chapter at Rutgers University, I have seen many great contributions by brothers and alumni from our chapter and Fraternity. OPERATION DOGGIE BAG

 

At the 2008 BIG DOG CLASSIC, our alumni and friends were asked to bring items that could be packaged and mailed to our U.S. military personnel serving in Iraq. We were sending specifically to Brother Jason Reckard.

 

I am pleased to share the following notes received from Brother Reckard. There are also several pictures attached that Jason has sent back from Iraq.

 

It is with great pride that we report Operation Doggie Bag - MISSION ACCOMPLISHED. Over the past 2 months twenty packages were shipped on behalf of our Phi Tau alumni and friends. The amount of supplies and treats ecxeeded 240 lbs! The packages were shipped out 2-4 at a time every 4-6 days, providing a steady stream of good wishes to Brother reckard and all the men and women serving with him in Iraq.

What a great surprise today when the mail clerk delivered two boxes to
my office. Great stuff enclosed, I passed out the hats and shirts and

Brothers:

It is with great sadness that I report the death this afternoon of
Joseph J. McCann, Sr., father of past national president Jay McCann.
Jay's father is also a Phi Tau, having been initiated as into the
Gamma Upsilon Graduate Council at the 2002 New Orleans National
Convention.  Arrangements are pending.

Please keep Jay and his family in your thoughts and prayers.
